Job Summary

Nestlé Pakistan is looking for a highly organized and professional Executive Secretary – CEO Office to provide executive and administrative support to the CEO. The role requires exceptional coordination, confidentiality, communication, and time management skills to ensure smooth CEO office operations and effective stakeholder management.

Key Responsibilities

  • Manage and coordinate the CEO’s daily, weekly, and monthly calendar
  • Prepare CEO run-sheets including meetings, agendas, pre-reads, and follow-ups
  • Coordinate meetings, presentations, invitations, minutes, and action tracking
  • Ensure timely closure of action items with internal teams and stakeholders
  • Maintain confidential CEO Office records, files, and documentation
  • Support special projects initiated by the CEO Office
  • Improve office workflows, trackers, templates, and governance routines
  • Coordinate travel arrangements, accommodation, transport, and logistics
  • Handle office administration procedures and requisitions efficiently

Requirements

  • Bachelor’s or Master’s degree from a recognized institution
  • 3–5 years of relevant executive support or administrative experience
  • Strong communication and stakeholder management skills
  • Excellent organization, multitasking, and time management abilities
  • High level of confidentiality and professional judgment
  • Proficiency in MS Office, Teams, Outlook, presentations, and reporting
  • Experience managing senior leadership coordination and events
  • Exposure to Board of Directors or Executive Leadership coordination will be an advantage
